Adding Additional Signers

In addition to the potential candidate, Greenhouse can be configured to send additional signature requests to two types of signers:

  • internal (someone within your organization that has a Greenhouse user)
  • external (someone outside your organization that does not have a Greenhouse user)

This integration supports up to 10 additional signers per offer letter, which are configured as metadata on the offer.

Internal Signers

To add additional internal signers, the following metadata field must be added to the offer, where # is replaced with a numerical value:

  • Additional Signer # User - User field type

So for example, if 3 internal signers are needed, the following 3 metadata fields must be added to the offer:

  • Additional Signer 1 User - User field type
  • Additional Signer 2 User - User field type
  • Additional Signer 3 User - User field type

External Signers

Similarly, two fields are required per external user:

  • Additional Signer # Name - Short textbox field type
  • Additional Signer # Email - Short textbox field type

So for example, if two external signers are needed, the following four metadata fields must be added to the offer:

  • Additional Signer 1 Name - Short textbox field type
  • Additional Signer 1 Email - Short textbox field type
  • Additional Signer 2 Name - Short textbox field type
  • Additional Signer 2 Email - Short textbox field type
NOTE

After creating the additional signer metadata, you can rename the fields to more purposeful names, such as renaming "Additional Signer 1 User" to "Head of HR".

Signing Order

The connector uses the following signing order:

  • Candidate -> Internal Signers -> External Signers

For example, the following signer metadata...

  • Additional Signer 1 Name + Email (external user)
  • Additional Signer 2 Name + Email (external user)
  • Additional Signer 1 User (internal user)
  • Additional Signer 2 User (internal user)

... will produce the following signing order...

  • Candidate -> Internal Signer 1 -> Internal Signer 2 -> External Signer 1 -> External Signer 2

Text Tags with Additional Signers

As noted above, when additional signers are created, they are assigned a number represented by a hashtag symbol (#). This number is used to reference the signer.

Since the candidate is by default the first signer, the Additional Signer 1 is given the text tag signer2. For example:

The custom field Additional Signer 1 has the text tag signer2:

  • [sig|req|signer2 ]
  • [text|req|signer2 ]
  • [date|req|signer2 ]

Likewise, the custom field Additional Signer 2 has the text tag signer3:

  • [sig|req|signer3 ]
  • [text|req|signer3 ]
  • [date|req|signer3 ]

The process of determining the correct text tags is the same for each additional signer.

Keep in mind that the number of additional signers you use affects which Greenhouse Recruiting template you use. If there are two additional signers, you need three total text tags; one for the candidate and two for the additional signers. If there is one additional signer, you will need two text tags.

NOTE

If the Additional Signer 1 fields are not filled out, but the Additional Signer 2 fields are, the Additional Signer 2 will be referenced as signer 2. This rule also applies if there are 3 additional signers and the first two are not filled out, but the third one is. The Additional Signer 3 is then referenced as signer 2.
