Questions and Answers
1. Can Dropbox Sign signatures be used for purposes other than Greenhouse or Procore?
The connector can be utilized in one of two ways:
- Connecting your Greenhouse account to a shared SHAKE IT Dropbox Sign tenant
- Connecting your Greenhouse account to a dedicated Dropbox Sign tenant which has been purchased either via SHAKE IT or directly from Dropbox Sign or via another Dropbox Sign reseller
If you would like to send signature requests outside of Greenhouse then you need a dedicated Tenant. We provide incentives to customers who purchase their Dropbox Sign tenant / signature subscription via SHAKE IT.
2. Can an NDA (as a separate document and signature request) be sent to a candidate before the offer letter?
This feature is currently unavailable, but is on the feature roadmap for 2024.
3. Can specific stakeholders be automatically CC'ed on all offers?
Yes, a list of e-mail addresses to automatically CC can be sent to SHAKE IT, who will configure this.
4. Is a single API Key used for every user and/or organization?
Each organization has a unique API Key, which is shared across all users of that organization.
5. Can Dropbox Sign send auto reminder e-mails if the candidate is not responding?
Yes, by default, a notification is sent 3 days and 7 days after sending a signature request.
6. Can you provide an example text tag document?

7. Can different templates be created for candidate types: interns, full time, part time, etc.?
Yes. Different documents can be managed within Greenhouse as offer templates.
8. Can the customer determine the signing order and how?
Yes, the signing order can be manually updated within the Dropbox Sign embedded tool before sending the request.
9. Can a recall of the Dropbox Sign request be made if an error has been made?
Yes, you can use the "Cancel request" or "Send new request" features as needed. "Send new request" will cancel the old request and send a new one.
10. If a regenerated offer is sent, is the original offer voided (the link won’t work)?
Yes, the original request is cancelled and a new one is sent.
11. Is it possible for hiring managers and recruiters to track requests?
The status of a specific request can be tracked in both Greenhouse and Procore on the corresponding item. As of now, a global view of all requests can only be tracked within the corresponding Dropbox Sign account.
12. Will the Dropbox Sign custom fields affect already existing custom fields in Greenhouse?
No, all custom fields in Greenhouse will continue to function the same way.
13. Where will completed offer letters appear once signing is complete?
In Greenhouse, they will appear in the Offer Documents section under Signed Offer Document. In Procore, they will appear in the General Information section under Attachments.
14. Can multiple Dropbox Sign accounts be used for a single Greenhouse or Procore account?
No, multiple Dropbox Sign accounts cannot be connected to a single Greenhouse or Procore account. It is currently a one-to-one relationship.
15. How large of a file can be sent for signature?
Dropbox Sign supports up to 40MB.
16. Is it possible to see where the document is in the signing process?
Yes, this is a feature that is enabled by default. All you have to do is send the document for signature, then refresh the Procore Side Panel and it will show whether the signers have signed, or are waiting to sign the document.
17. Is it possible to pass in text-tags in the Dropbox Sign Title, Subject, and Message?
This is not a feature that is currently supported through Dropbox Sign.
18. Can we sign signatures on the Dropbox Sign mobile app?
This not a feature that is currently supported through Dropbox Sign.
